We are seeking a Virtual Assistant to help our clients with administrative & accounting processes. The successful candidate will work directly with an Environmental Services business based in New Zealand.

The Opportunity

Responsibilities:

  • Monitor project progress and address potential issues
  • Create and update workflows
  • Drafting Reports
  • Prepare and provide documentation and resources
  • Filling out details of work order entered into Procore
  • Data entry and validation
  • Job costs review and capture
  • Communicating with the Company’s different departments
  • Preparation of e-mails in a certain format which contains all the documents needed for approval
  • Filling out Work Order / Purchase Order Request Forms
  • Keeping organized meeting minutes
  • Other general administrative tasks as needed by the client
  • Scheduling and planning meetings and activities
  • Ad hoc varied day to day business support tasks

Requirements:

  • Candidate must possess at least a Bachelor’s/College Degree
  • A minimum of 2 years experience as Virtual Assistant / Administration role is essential
  • With experience using Procore, Microsoft Teams, SimPro, Slack, Click-up, Google Apps is a huge advantage
  • Experience in project management is a must
  • Excellent written and verbal communication skills is a must
  • Strong attention to details
  • Has a great ability on creating and implementing processes
  • Has excellent time management and prioritization skills
  • Self-motivated and capable of thriving in a fast-paced corporate environment
  • Ability to be flexible to changing demands and challenges and exercise initiative
  • Excellent calendar and documentation management
  • Excellent organizational and project management skills with experience in – juggling multiple initiatives at the same time
